Description
Title:                                                             Student Academic Administrator
Location:                                                      NSIA Symonds Street, Auckland; or such other location as may be required
Reporting to:                                               Student Academic Team Leader
Functional Relationship with:                    Academy manager, Management, Academic & Marketing staff, Careers Teams, students and graduates  

Purpose: To assist the Student Academic Team Leader to undertake the monitoring of student results, ensure student achievement is tracked and report to management and externally and take ownership of key administrative tasks to enable the campus to be efficiently managed and thereby maximising student achievement and outcomes  

Key Accountabilities:
Campus Support and Administration
Monitoring of Assessment Results:  
  • Ensure quality academic recording of student data
  • To assist STAL that tutors meet deadlines for the return of data
  • Ensure student academic data is correctly recorded and external agencies receive this information before time
Managing Student Achievement
  • Assist with
    • Ordering ITO certificates of achievement
    • Updating Progress Report completions
    • Recoringd student block completions
    • Tracking of domestic student achievement
    • City & Guilds achievement summaries
    • Student and Graduate Surveys
External agency requirements:
  • Assist as directed with
    • The preparation of audits
    • Monthly report contributions, EFTS consumption and tracking, ESOL fee transfer etc.
    • STEO reports 
Administrative Support:
  • Assist as directed with
    • Orientation – preparation
    • Graduation ceremony – preparation
    • Student Handbooks – preparation and production
    • Enrolments – file checking
    • Produce forms and/or update SMS for student completion/withdrawals/postponements/ freeze allowance/deferrals/change of program/and re-instatements
    • Create student logins for computer and printer access 
    • Adding student printer credit and re-set student log on passwords if required
    • Receipting
  • Perform other tasks as may be delegated by the Student Academic Team Leader or the Academy Director
What success looks like:
  • Completion of all the above tasks in a timely manner to internal audit standards
  • Consistent positive feedback with regard to the efficiency and effectiveness in the role
  • Excellent customer relationship profile
What you must have:
  • Minimum of NCEA Level 2 or equivalent
  • Intermediate Microsoft Word and Excel skills
  • Excellent eye for detail and proof reading skills
  • High level of customer service and communication skills
  • Excellent command of the English language in both written and verbal communication
  • Excellent report presentation skills
  • Experience of database administration
  • Proven ability to prioritise tasks and manage time effectively
  • Previous experience in an administrator role
  • Setting high standards of performance for self and others; assuming responsibility and accountability for successfully completing assignments or tasks; self-imposing standards of excellence rather than having standards imposed
