Direct reports:                                     Campus Receptionist, Student Academic Administrator
Functional Relationship with:            Management, Academic & Marketing staff, Careers Teams, students and graduates

NSIA (and NZMA) aims to be an innovative and progressive supplier of tertiary or vocational learning for domestic and international students.  

The position holder provides a strong administrative function to the business and our students.  The role works closely with the International Centre Admissions Teams and campus academic staff to ensure the accuracy and timeliness of processing student information to provide a continuously exceptional customer service experience to each student.  

The position holder is responsible for overseeing and checking the accuracy and consistency of student information entered into the student management database.  Coupled with this is the responsibility for filing personal and academic information on all students and ensuring that the company is operating in this area, in compliance with NZQA requirements.  

The Student Academic Team Leader will be responsible for delegating activities and tasks to their direct reports.  

With overall responsibility for all administration tasks and issues across the NSIA Campuses, the position holder also reports directly to the NSIA Academy Director with regular updates on all matters of interest.    

Key Accountabilities:

NOTE: The Student Academic Team Leader will be responsible for many areas but may delegate some of the administration to direct reports

Campus Support and Administration
Monitoring of Assessment Results:
  • Quarterly update of Course and Qualification data
  • Receive assessment results submitted by the teaching staff as per NSIA procedure, compare for discrepancies against data entered
  • Enter student academic results for unit standards/modules in the required software’s
  • Process all credit transfer forms / requests including the fees
  • NSI enrolment
  • Exemption report checking
  • SDR error correction
  • Enrolpro administration and relevant updates (or Take2 at some stage in the future)
  • Issue academic reports
  • INZ notification
Managing Student Achievement
  • The issue of ITO certificates of achievement
  • Update Progress Report completions
  • Record student block completions to accurately track eligibility for Achieved with Excellence outcomes
  • Tracking of domestic student achievement
  • Act as the City & Guilds Exam Secretary achievement summaries and results analysis and follow up
  • Oversight of Student and Graduate Surveys at NSIA
  • Maintain a register of student academic complaints
External agency requirements:
  • Managing the preparation of audits: NZQA, EER and TEC
  • Monthly report contributions, EFTS consumption and tracking, ESOL fee transfer etc.
  • STEO reports 
Administrative Support:
  • Orientation – planning and preparation
  • Graduation ceremony – preparation, manage and lead
  • Student Handbooks – oversight and update
  • Enrolments – file checking and liaison with Admissions
  • MOP forecasting and tracking enrolments against forecast
  • Produce forms and/or update SMS for student completion/withdrawals/postponements/ freeze allowance/deferrals/change of program/and re-instatements
  • Receipting of campus related charges
  • Assist with Tutor induction into campus Admin systems and requirements
  • Delegated to the Campus Receptionist
    • Create student logins for computer and printer access 
    • Add student printer credit and re-set student log on passwords if required
    • Approve website log-ons, liaise with tutors in order to ensure any issues are resolved if required
  • Perform other tasks as required by the Academy Director
What success looks like:
  • Completion of all the above tasks in a timely manner to internal audit standards on a quarterly basis
  • Consistent positive feedback with regard to the efficiency and effectiveness in the role
  • Excellent business relationships maintained across the business
What you must have:
  • Extensive experience in the education sector
  • Demonstrated knowledge of the New Zealand education industry and especially the tertiary sector
  • Experience of the NZQA/TEC education processes – or clear potential to understand and operate effectively within this environment
  • Proven ability to set high goals for personal and group accomplishment, along with experience in measuring results and monitor progress in achievement
  • Experience in working within a multi-cultural environment and connecting with international students
  • Demonstrated commitment to represent and be a strong advocate for students
  • High level of interpersonal, communication and presentation skills.
