About the role

We are building a new team and are looking for a motivated and organised person to take up the permanent full time (8:30am – 5:00pm) role of Office Administrator and Student Support.
Based in the reception/administration area you will be communicating and interacting with current and potential international students (for whom English is often not their first language) on a regular basis.  Reporting to the Head of College, you will undertake a wide range of activities that support them, the teachers, the students and the general day to day running of the College.  Responsibilities include such things as managing student information and attendance, new student set-up and orientation, reception duties, handling enquiries about the College, maintaining regular communication with teachers as to the pastoral welfare and academic success of students and acting accordingly if further support is required, arranging meetings, interviews and associated administration, managing regular communications to staff and students and ensuring the campuses’ the facilities are fully functioning and serving the needs of the staff and students.

The successful candidate will have

·  2 + years administration and customer service experience;
 · Excellent verbal and written communication skills – especially in the context of supporting students who are from abroad; ·                 Empathy and an understanding of the challenges our foreign students may be facing 
·  A warm, friendly and professional demeanour;
·  Outstanding organisational and time management skills;
·  Strong Word, Outlook and Excel skills;
·  Ability to multitask and prioritise daily workload;

Role Purpose:
The role is responsible for supporting the Head of CDUIC in managing the day to day operation of the college.  This Includes undertaking key administrative duties, providing customer service and care to students, and attendance management.

Administration
·Maintain all noticeboards and display boards.
· Accurate and timely transfer of student information between organisations.
· Develop and apply an understanding of the policies, systems and procedures of UP and CDU.
· Liaise with all relevant colleagues/functions in the course of achieving effective outcomes for the college, such as Property, Health & Safety,
  Finance etc.
· Management of admin tasks to support compliance.
· Prepare reports by collecting and analysing information aligned with the College and university’s requirements.
· Develop and maintain administration and filing systems.
· Plan, coordinate, execute and review events, as required such as the College’s orientation programmes, allocated tutor time and leavers dinner.
· IT set-up for meetings and presentations and ensure smooth handover e.g. arrange skype, data projector.
· Carrying out routine administrative tasks such as stationery and purchase/equipment orders.
· Co-ordination of invoice & payment schedules, reimbursement, expenses and petty cash.
· Coordination of facility management and ICT support systems.
·  Responsible for performing administration tasks within the Student Management and Learning Systems. Managing information
   and processes to ensure timetabling for classes, examinations and events is carried out well in advance of delivery dates.
   
 Customer Service and Student Care

·Provide “front-line” relationship and impression management for the college – dealing professionally and warmly and with students, staff and the public.
·Maintain the front reception desk and all common areas.
·Coordinate communication and greet all visitors to the front desk, including signing in and health & safety briefing. Respond to any inquiries using the appropriate channels.
·Represent and communicate on behalf of UP and the Head of College with our key sector stakeholders.
·Assist with student admissions/sales queries when required.
·Liaise with student services when required.
·Deal with all initial student enquiries in a positive, helpful and timely manner, and forward as appropriate.
· Consult on, and create, the daily, weekly, termly communications to students.
   Provide future pathway advice to students when required.

Student Academic Support and Welfare

· Instigate, where appropriate pastoral and academic care procedures.
· Maintain regular communication with teachers and tutors as to the welfare of their students.
· Assist the Head of College, as appropriate, to refer students to additional Student Support services, where required.
· Maintain appropriate records in accordance with College policies.
  Assist the Head of College with the organization of processes and procedures regarding the tutor system.

Attendance Management

· Act as Attendance Officer for the College, keeping accurate records of student attendance and following up with cases of absenteeism.
· Liaise with CDU to fulfil attendance compliance.
  Create and co-ordinate management of attendance processes within the Student Learning System with staff.

Supporting the Head of CDUIC and other members of the team
· Arranging meetings, interviews and associated administration.
  
Consult on, and create communications to staff, including written, verbal and digital.
· Assist in publishing and communicating timetables.
· Provide administration support to the teaching team for larger scale operations such as bulk photocopying and the distribution of academic materials etc.
Assist with examination moderation processes and procedures if required.

Health & Safety

·Manage, alongside the Head of College, the administration of health and safety and risk management systems and reporting.
·Act as the First Aid Officer for the College, keeping accurate records of all First Aid administered.

Ensure that:
· you take reasonable care of your own health and safety while at work;
· you take reasonable care that what you do or don’t do does not adversely affect the health and safety of other people;
· you cooperate with any reasonable workplace health and safety policy or procedure that the company has; and you comply with any reasonable instructions given by the company

From time to time you may be requested to undertake additional or alternative duties in support of the college.
