Management and Supervision of: Cleaning contractor and staff, Security Staff, Property maintenance staff, Cafe contractor, Allocated part - time ACG Property staffing
Buildings – Titoki St, George St
To be responsible for (through engaging tradesmen) and / or undertake basic maintenance tasks in respect of buildings and school equipment.
To carry out regular inspections of all buildings to record maintenance, hygiene and safety issues, and ensure any such maintenance is undertaken etc.
To carry out all regular compliance inspections as required by Building Warrant of Fitness and record findings in the compliance book and ensure any remedial work has been carried out.
Liaise with the ACG Property Department where required.
School Equipment, Furniture and Fittings
Responsibility for equipment, repairs and maintenance of furniture and fittings.
Responsibility for furniture purchases, delivery and allocation (see Co-operation)
Maintaining of all records (electronic – FM Fixit and Assetwhere) relating to the stock of Equipment, Furniture and Fittings of the school.
Grounds / Cafeteria / Terrace
Ensure that school gardens and car park areas are tidy and litter free.
Supervise and liaise with contractors to ensure that grounds are maintained.
Keep the gardens free of weeds.
Oversight of the cleaning contracts
Ensure that toilets are in a clean condition (in liaison with the cleaners)
Occasional assistance with cleaning when emergencies arise
Ensure that the footpaths, covered walkways and building exterior are kept clean.
Liaison with the Cafeteria contractors as necessary.
Liaison with the Bledisloe Trust as necessary.
Security and Safety
Responsibility for campus security and security procedures and systems, including any security staff, keys, alarm system(s), gates etc.
Liaise with subcontractors/tradesmen on matters of vehicle parking, security, building access, and safety etc when they are working on site.
Ensure that contractors comply with the ACG Code of Practice.
Ensure any agreement with Civil Defence is adhered to.
Ensure OSH systems are implemented effectively and any risks that may be identified are reported to the Principal.
Report any theft of property or issues that may require an insurance claim.
Contacting the Police if necessary.
Ensure efficient and cost effective use of all utilities.
Monitor and on-charge on a monthly basis the usage of power, gas and water by the cafeteria caterers.
Manage the caterer in accordance with the contract to ensure the agreed outcomes (including a focus on cost reduction)
Manage and assist with the ordering and placement of new assets and relocate furniture and equipment as may be required by the Principal.
Meet with the Principal as required and report formally each month, including a report produced from FM Expert.
Manage the hireage of ACG facilities (including payment)
Monitor and keep records relating to staff car parking.
Have good working relationships with teachers and support staff.
Ensure that all tasks assigned are completed efficiently and with due regard to health and safety and hygiene.
Carry out other assigned duties as may be required from time to time, in line with the above, e.g. shifting of furniture, preparation for Prize-giving and other functions.
Oversight of all service contracts that relate to property and plant, e.g. security, Otis, air conditioning, electrical
Ensure (including signing) that all invoices received for property match the orders and quotations.
Annual leave is generally to be taken in January, or at times approved by the Principal taking into account the need for adequate staffing at all times of the year.
And any other duties as may be reasonably required by the Principal.
This job description is subject to annual review.
In order to deliver the above, the Company will provide any reasonable personal protective equipment and in conjunction with Health and Safety requirements, ensure that appropriate clothing is worn when undertaking such tasks.
