An opportunity has come available for a full time Personal Assistant to support the Executive Principal and staff at ACG Strathallan.
 


In this role, you will be responsible for:
  • Management of office tasks, including maintaining Principal’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Helping to conserve the Principals time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications
  • Supporting the Enrolments Manager with any enquiries related to school admissions 
  • Communications and event management
  • Organising and providing support at meetings, including minutes
  • Producing reports, presentations and briefs
  • Development and maintenance of administration and filing systems
  • Organising of roster and communication with road patrol team 
  • Responding to emails that come into the main school email address
The successful candidate will need to possess:     
  • Previous PA experience is essential
  • Outstanding organisational and time management skills
  • Knowledge of office management systems and procedures
  • Excellent verbal and written communication skills
  • Intermediate knowledge of Word, Outlook and Excel programmes
  • Ability to multitask and prioritise daily workload

MAIN PURPOSE

  • To assist the Principal and anticipate administrative needs 
  • To maintain efficient administration systems  
KEY TASKS and FUNCTIONS    
  • Management of office tasks, including maintaining Principal’s appointment schedule by planning and scheduling meetings, enrolment interviews, conferences, teleconferences, and travel 
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analysing information; initiating telecommunications 
  • Development and maintenance of administration and filing systems 
  • Support the Enrolments Manager with any enquiries related to school admissions 
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics such as production of newsletters and other documentation as required 
  • Prepares reports by collecting and analysing information 
  • Maintains student, parent and staff confidence and protects operations by keeping information confidential 
  • Co-ordination of mail-outs 
  • Assistance with preparation of Graduation, College start-up, Prizegiving and other events throughout the year 
  • Taking minutes at staff briefings and meetings 
  • Administrative support for school productions and other school events as required  
  • Attendance at Open Days and other key school functions as requested by the Principal 
  • Maintaining school roll within The Ministry of Educations ENROL database. 
  • Responding to emails that come into the main school email address. 
  • Arrange staff events including the end of year staff function 
  • Processing of Teacher registrations  
  • Organising of roster and communication with road patrol team 
  • And any other duties as may reasonably be required by the Principal.
