Description
Purpose of Position  
This is a management position, with responsibility for ensuring that the student administration function operates at all times in alignment with the requirements of the regulatory bodies governing the tertiary education sector, including NZQA and TEC.   Specific areas of focus include total administrative consistency and compliance, optimising ACG Tertiary and Career’s use of the Student Management System and Student CRM Database system, internal monthly reporting of student outcomes (EPI’s), external reporting requirements including all statutory reporting requirements, and providing exceptional levels of customer service and responsiveness to all students and staff.   The Registrar proactively manages, and promotes the importance of the role of registry to all relevant staff as part of the wider shared services team, and actively influences the implementation of administrative excellence throughout the business through creating and maintaining strong and seamless working relationships between the Registry and all other relevant functions within the organisation.

Key Accountabilities  
  • To ensure accuracy and compliance in all external reporting requirements including TEC, MOE, NSI and NZQA in order to ensure that all statutory obligations are met.
  • Manages all ACG T&C’s Student Management Systems and actively working to ensure that the organization is maximizing their use.
  • Ownership of meeting all reporting deadlines internal and external within the function.
  • To ensure that all users of the system are provided with relevant and effective training and provide the organisation with an effective Helpdesk Service for all such systems.
  • To produce Registry manual, which clearly outlines Registry systems and processes, and to ensure that the manual is available to all relevant staff.
  • To ensure that all administration systems and processes are well communicated to relevant staff effectively and that any changes are also communicated in such a manner.
  • To assist relevant Campus Managers in monitoring their EPI’s, to ensure consistency and effectiveness of Registry processes and support the sharing of best practices across the organisation.
  • To ensure that the highest levels of accuracy and relevancy are achieved with regard to the collection, entry and reporting of all data and information contained within the Student Management and Database Systems.
  • To regularly undertake information audits to support this.
  • To strictly meet all relevant deadlines.
  • To be alert to all discrepancies and inconsistencies within the Registry administration processes and take all relevant steps to rectify these.
  • To ensure that effective internal reporting processes are in place between Registry and all other functions and teams.
  • To work closely with members of other teams including Quality, Finance, IT, Admin and Sales, to support the provision of services designed to improve student performance and outcomes.
  • To provide high levels of customer focused service to all students, staff and other relevant stakeholders in response to Registry enquiries.
  • To assist in continuous improvement in design and implementation of effective, standardised and compliant registry systems and processes to support all necessary administrative interactions between the organisation and its students, from enrolment through to final learner destination.

  • Establish and develop a Registry team environment that supports team members to achieve or exceed their performance goals
  • Implement the NZMA Way process effectively with Registry staff members and ensure staff development needs are identified and addressed
  • Undertake all people management/leadership tasks in alignment with the requirements set out in ACG T&C HRM policies

  • Provide input to the broader business planning or development of NZMA as required and put forward new ideas in line with the goals and direction of NZMA

Person Specification  
Skills and Experience  
  • Previous work experience within education sector or in a similar role
  • Ideally the applicant will have experience of working in a tertiary education supplier – private supplier experience would be an advantage
  • Minimum qualification at NZ Diploma level
  • Demonstrated ability to implement effective, standardised and compliant administrative systems and processes to provide an end to end service across a wide range of customers
  • Demonstrated ability to design and implement effective, standardised and compliant Registry systems and processes to provide an end to end service
  • Proven experience of being able to understand, manage and develop administrative systems  - ideally in a tertiary environment
  • Ability to review processes, devise and set up new processes or developing ways of improving administration systems and processes
  • Experience of working within a multi cultural environment and establishing good working relationships with diverse communities
  • Skill in researching complex issues and developing and implementing recommended action
  • Proven ability to work effectively within a highly complex environment with multiple targets and a significant amount of change
  • High level of interpersonal, communication and presentation skills.
